Privacy Policy

Last updated 11 October 2026

1. Who we are

VidGuild ("VidGuild", "we", "us") runs www.vidguild.com, the member hub and the Guild. This policy explains what personal information we collect, why, who we share it with and the choices you have.

2. What we collect

We only collect what we need to run the Services:

  • When you apply (the Guild or 1:1): your name, email, Discord or Telegram username, and anything you tell us about your channel or goals.
  • When you sign in with Whop: your Whop user ID, name, username, email and profile picture, and which of our products you have access to.
  • When you buy: Whop processes the payment and tells us what you bought and when. We never see or store your full card details.
  • On the Wins Board: the video links, numbers (views, CTR, average view duration), notes and screenshots you post, shown with your name. For YouTube links we look up the video's public title and thumbnail.
  • Technical information: like most websites, our hosting provider logs IP addresses, browser type and pages requested, to keep the site running and secure.

3. How we use it

We use your information to review applications and contact you about them, give you access to what you've bought, run the course, hub and community, answer questions and support requests, keep the Services secure and prevent abuse, and meet legal and tax obligations.

Where data protection laws like the GDPR apply, we rely on performing our contract with you, our legitimate interest in running and protecting the business, your consent where we ask for it (for example, sharing a win publicly), and legal obligations.

We don't sell your personal information, and we don't use it for advertising.

4. Who we share it with

We share information only with the services that help us run VidGuild, and only what they need:

  • Whop: payments, memberships and sign-in.
  • Vercel: website hosting, server logs and file storage for screenshots.
  • Discord: applications and alerts are delivered to our private Discord channel.
  • Upstash: the database behind the Wins Board.
  • YouTube: when you post a YouTube link, we ask YouTube for that video's public title.
  • Authorities or advisers, if the law requires it, or to protect our rights and users.

5. Cookies and browser storage

We use a small number of essential cookies: one keeps you signed in to the member hub (for up to 7 days), and one secures the sign-in step itself. Your lesson progress and notes are saved in your own browser, and we can't see them.

We don't use advertising cookies or third-party analytics. If that changes, we'll update this policy first.

6. How long we keep it

We keep applications for up to 12 months after the Guild opens unless you become a member, member information for as long as you have access plus whatever period the law requires (for example, for tax records), and Wins Board posts until you or we delete them. You can ask us to delete your information sooner.

7. Your rights

Depending on where you live, you can ask to see the information we hold about you, correct it, delete it, get a copy of it, object to or limit how we use it, or withdraw consent you gave earlier. California residents can also ask what we collect and have the right not to be discriminated against for using these rights; we don't sell or share personal information for advertising.

To use any of these rights, use the application form on vidguild.com and say it's a legal or privacy request. We'll reply within the time the law requires. You can also complain to your local data protection authority.

8. Children

The Services are only for people aged 18 or over. We don't knowingly collect information from anyone younger. If you think a child has given us information, contact us and we'll delete it.

9. International transfers and security

The services we use may store and process information in the United States and other countries. Where the law requires, they protect it with recognised safeguards such as standard contractual clauses.

We use secure connections, signed sign-in sessions and access limits to protect your information. No system is perfectly secure, so we can't guarantee absolute security.

10. Changes to this policy

We'll update the date at the top whenever this policy changes, and let members know about important changes.
